When you have your media contact list in place and find yourself with a newsworthy tip that deserves a mention, it’s important to keep the following things in mind:
1) Step into the shoes of the media. Journalists are always on deadline, with very little time to review the potential hundreds of press releases that cross their desk. When reaching out with a pitch or press release worthy of wedding PR, be sure to keep it short, timely and attention grabbing.
2) Disseminate carefully. You will lose media friends fast if you continue to pitch to the wrong people. Every story has an angle or two, so make sure your message is being delivered through the appropriate channels. The Grand Opening of your new bakery, for example, does not belong in the hands of the Politics editor.
3) Stay true to the Inverted Pyramid. The Inverted Pyramid is the preferred method to both receive and write the news, answering the who, what, where, when and why at the very beginning while tapering off to the less pertinent information. When pitching your news, ask yourself what essential points are key to the topic itself, and start from there.
4) Be available and easy to reach. Should your news spark interest get picked up, make sure you are at the ready. Include all of your contact information (email address, phone numbers and twitter handle included). Be available to be interviewed and practice what you're going to say. Does your release include other fellow wedding pros? Have their cells numbers handy, as well as any other pertinent information that may be requested. It simply doesn't end when you press "send" on your email.
5) Be professional. Nothing hits the recycling bin faster than a poorly written press release. Take the time to learn the appropriate formatting, hand it off to another colleague for a second look, and don’t forget to spell check.
