Planning a party, event, meeting or convention in Austin, Texas when you live another city can be extremely stressful. Living in one city and mapping out the logistics of getting a large group together – and keeping them entertained – in another city creates added hassles and headaches. Thinking ahead and seeking out a hotel that not only will accommodate your guests, but will also lend a helping hand to you, the planner, can make a world of difference.
Transportation from the Airport
Getting everyone from the airport to the hotel can be a chore. Should people rent cars? Should they take a shuttle bus? Is there even a shuttle bus to take? When planning your meeting or party, ask your hotel if they offer airport shuttle service. Most have some sort of free transportation they offer to guests, while others may require a fee for pickup. Ask ahead of time if there is a fee, so guests don’t think they are stepping on to a free shuttle if they have to pay for the ride.
Getting Guests around Austin
If your event is being held outside of your hotel in another venue, you’ll want to offer transportation to your attendees. Ask the hotel if they provide such a service or if they recommend any specific local carriers. You will want to make traveling to your event as painless as possible for your guests, so work with the hotel to iron out as many logistical details as possible.
Uniquely Austin
Austin conventions have something unique that other cities do not: the City of Austin. Hailed as the music capital of the world, Austin is home to some of the country’s most unique art galleries, restaurants, bars and festivals. Work with your hotel’s concierge to try and put together a packet of suggested activities for your meeting attendees or party guests. They may even know of places where they can help you negotiate a group rate for your participants. Giving your attendees options for their off-hours can be a great way to build camaraderie and keep up morale. It also means your guests don’t have to go digging and researching for their own activities.
Hotel Amenities and Location
When choosing a hotel, you want to consider its location, proximity to your venue, price, amenities, concierge services, transportation services, and you also want to be sure that the hotel has free wifi internet for guests as well as a restaurant and bar area. Austin conventions can be pricey and people don’t like to be inconvenienced when they travel. They are already spending a lot of money to come to your event, so making them leave the hotel for wifi access, breakfast or a nightcap can make for unhappy guests. If you know your group is fitness-conscious, you may want to look for a gym, as well, but most people would forgo access to an elliptical machine before giving up access to food and wifi.
It can be a stressful experience to plan an event in another city, but if you choose the right hotel with the right services and amenities, you can plan a unique and interesting trip that your guests won’t soon forget.
