There was always the need for a permanent solution to this, and the result was the emergence of “Document management”, which has resulted in a paperless environment in most of the offices today.
It might sound easy, but to make an office, paperless demands a lot of problem solving related to industrial needs. It is all about managing your documents in such a way so that it is within your reach whenever needed in the desired form without wasting extra time and space. The evolution of computer has added to the simplicity of office work, and the process of document management is possible only with the help of a computer. Document management has become a top priority in offices where cost cutting has become inevitable, since the overall cost of implementing the electronic document managing system would prove to be less when compared to buying papers, files and racks. Also the space needed to keep these racks can be saved. Imagine, trying to find out a particular paper from thousands of papers racked up in your shelf. Not only would this be time consuming, it would be frustrating for the person searching too. On the other side, in an office where the electronic document management system is in place, a click of the mouse button will help locate the file with much ease.
The electronic document management system is a computer-driven system where custom made software tools are used to capture, process, index, store, retrieve, distribute and dispose of the documents. The documents could be in any paper format, which can be transformed into electronic files. The system does include the capturing of documents through scanning, bar coding and optical character recognition.
Most of the corporate have shown a trend towards converting all their documents into electronic files, thus reducing the impact of the physical paper on the environment. These electronic files, which are converted from paper, can be stored on computers or other storage devices and can be accessed from anywhere. They can be transferred to across the world through internet. This allows the flexibility of not having to carry papers and also safeguards them from being destroyed by fire or other means of destruction. The safety aspect is another advantage of these electronic files which cannot be overlooked.
Electronic document management systems can be best implemented in organizations where there is a huge load of documents, which would be too huge a task to manage and also keep track. This is because the organization would have offices in different locations and it would be nearly impossible to carry these papers to these different locations. In organizations where the electronic document management system is in use, the coordination between different departments would be extremely smooth since the electronic files can be accessed by anyone who needs them and has proper authority.
