So how do you ensure that you get the most of your money’s worth while ensuring that everyone plays by the rules? Simple, you write up a contract to be signed by the firm providing the sound equipment and personnel.
To fully appreciate the importance of a contract, consider the example of a wedding disco. If it is a big wedding party, you can expect a mixed crowd, from the young to the not so young, from the hip to the conservative and so on. All these people have a right to be entertained and the onus of that largely lies with the DJ.
Controlling such a crowd can be tricky as some of the people may decide not to be in their best behavior. And while the revelers can be pardoned for their misdemeanors, the DJ cannot. So ensure that your DJ knows that s/he will have to be in their best behavior at all times, put that down in your contract.
If there is a certain type of music you do not want played, state it and put it down in writing.
If you have a dress code, make sure your sound crew understands and agrees to observe it. Have it in writing to avoid any misunderstanding.
If the DJ equipment hire you choose promises to provide you with all the equipments you will require, ensure that is so by including it in your contract. It would be embarrassing if any of your guests was to show up with music in a media that the DJ assured you they could handle and fail to do so.
Finally, you need a liability clause to absolve you of liability in case of accidents arising from unforeseen circumstances. As a tip, choose a DJ with liability insurance cover. A copy of the insurance should be appended to the contract.
