Being able to keep track of the time that employees have worked is crucial for any business - both to improve profits and to be fair to the staff that slave away for the benefit of the company. Today employee time clock software offers many advantages over the old fashioned time clocks of yore, cutting down on expenses while adding a range of additional features.
A time clock is a way of keeping track of employees' working hours. In the old days (though some businesses still use the method) this would use an actual clock that would punch the time into a card when swiped. The job of the employee then was to swipe the card so that the time would be printed on that card every time they entered or left the building. This would normally mean there'd be four numbers on each time card - when the employee first arrived at work, when they left for lunch, when they got back, and when they left permanently, and would mean a new time card was needed for each employee at the end of every day.
The number of problems with this are myriad. Firstly this means that someone needs to manually add up the amount of time each employee has been at work. That means four sums for each person for each day, which then needs to be tallied up for entire weeks or months. Obviously this takes up a lot of time, and over the course of a month is almost a day's work in itself meaning a day lost that you could be doing something more useful (or it means roughly guessing the time an employee has spent at work and thereby under or over paying them and creating difficulties that way).
Then there are the problems that actually owning a physical time card presents. This of course means that there's something to lose, and no back up or additional record for the hours that a staff member has worked and can of course lead to a variety of problems with knowing how much to pay said staff members. At the same time it means printing out lots of cards, investing in a tonne of card paper, and handing more out whenever they go missing. Finally, a card with a number stamped or punched onto it is very easy to replicate or forge meaning that you can easily have the wool pulled over your eyes.
Digital time clocks however offer a host of advantages. Firstly they allow you to keep a digital record of the times punched in which will be stored on the system - meaning that it will rarely be lost. This also means that any sums can be automatically handled by the system which will mean you don't have to spend time and money adding up individual minutes and seconds and meaning that you can pay a staff member for precisely the amount of time they've worked.
They also tend to use a different system for 'punching in' meaning that you aren't relying on separate cards. This might mean having one single swipe card containing all your data, or using a pin code, or even biometric data that can't be faked such as a finger print or a retina.
